When participating in the Reverse Cash Discount pricing program, retailers, restaurants, and other businesses can implement an Admin Fee to assist business expenditures, maintain exceptional service, and provide competitive prices. With Exatouch, the Admin Fee can be applied automatically as a set dollar amount or percent on a total purchase.
- Update: Checkout Fee is now Admin Fee. This change complies with the Reverse Cash Discount pricing program and major card brand requirements.

An Admin Fee is part of a pricing program known as Reverse Cash Discount. The Reverse Cash Discount program has the following stipulations, which are specific to current card brand rules and regulations:
- Merchants assess an Admin Fee on all purchases, including credit, cash, checks, and all other tender types.
- Tender Discounts are no longer offered in conjunction with Admin Fees.
- Mandatory: Signage advising that an Admin Fee will be assessed on all purchases must be displayed by the merchant at the point of sale as well as other physical and online locations. Signage wording (example): We accept all forms of payment including cash, checks, and credit cards. To offset the rising cost of business and operational expenses, all purchases paid will be subject to an Admin Fee of 3.00%.
- Merchants are responsible for understanding all local and state laws regarding pricing disclosures.
An example of pricing in a compliant Reverse Cash Discount program is below.

- Note: Quick Cash Payments are not available when the Reverse Cash Discount Program has been implemented and Admin Fees have been enabled.
- From Home, navigate to Settings > Account.
- Tap the Admin Fee tab, and verify Admin Fee is entered into the Display As field.
- Enter an Admin Fee value in the Amount field, then perform one of the following:
- Select Percent to apply a percentage-based Admin Fee.
- Select Dollar to apply a flat dollar amount Admin Fee.
- In the Apply To section, enable all tender type sliders.
- Optional: Enable the Fee is Taxable slider to calculate tax on the Admin Fee.
- Optional: Enable Apply Fee to Taxes to calculate the Admin Fee on the order total and taxes on the order, if needed.
- Tap Save.
- Note: To calculate taxes on any Admin Fees, you must also enable Admin Fees in the appropriate tax groups. From Home, navigate to Settings > Tax Group Settings > and enable Admin Fee in the appropriate Tax Groups.
Merchants can apply Admin Fees either by flat dollar amount or by a percentage. Admin Fees are applied per transaction. The following example includes procedures for a business that wants to charge a flat $1.50 Admin Fee.
- Note: Note: If any settings on the Tender Discount tab are enabled, the Admin Fee tab will be disabled. See Enable Tender Discount (Cash Discount Program) for more information.
- Tap the Admin Fee tab.
- Enter 1.5000 in the Amount field and select Dollar.
- Verify that the Fee is Taxable and Apply Fee to Taxes fields are disabled (if you do not wish to apply Admin Fees to taxes) or enabled (if you do wish to apply Admin Fees to taxes).
- Under Apply To, enable all tender types.
- Tap Save.
Transaction Receipts
Admin fees display similarly on receipts for credit and cash transactions. In the following credit and cash receipts, a $1.50 Admin Fee is included.
Merchants participating in the Reverse Cash Discount program can apply Admin Fees to suggested tip amounts on customer receipts. When processing payment, the Suggested Gratuity Amount values increase on customer receipts to reflect the application of the Admin Fees to tips. The following sections provide historical information about the evolution of Admin Fees in Exatouch.
Release 8.367 (April 10, 2024)
New tip settings were added to the Admin Fee tab under Settings > Account. These settings include the following:
- Add Fee to Suggested Tip – Suggested tip amounts were increased to include Reverse Cash Discounts. This feature works for the Dual Pricing and Admin Fee settings.
Release 8.361 (September 1, 2022)
Checkout Fee Becomes Admin Fee
The term Checkout Fee also changed to Admin Fee in all occurrences.
Release 8.352 (May 1, 2022)
Checkout Fees were included in all transaction tips.
Release 8.338 (September 10, 2021)
Tender Discount & Fees Report Enhancements
In Release 8.338, the Tender Discount & Fees report was updated to display refunds. Refund data displayed in the Register Refund section of the report.
Tender Fee on Receipts
In addition, Release 8.338 added Tender Fees to the refund receipt.
Release 8.323 (March 8, 2021)
Tender Type Discounts
Prior to this version, the settings for Reverse Cash Discount, Checkout Fee, and Cash Discount were on the same tab. This version splits the information to include Reverse Cash Discount and Checkout Fee on the Checkout Fee tab, and Cash Discount on the Tender Discount tab.
Checkout Fee Added to Receipts
Release 8.323 also included the addition of custom messages and checkout fees to guest checks.
Tender Discount & Fees Report
Reports were updated to consolidate Tender Discounts and Checkout Fees, creating the Tender Discount & Fees report. The Service Charges report displayed only Checkout Fees.
Release 8.319 (2021)
In Release 8.319, multiple design and functionality enhancements were added to the 10” CFD, including labeling and totals for cash and credit (depending on if there is a Checkout Fee and/or Tender Discount defined).
Print Tender Totals on Receipts
Receipt enhancements reflected both a cash and credit price at the bottom of the receipt.
Checkout Fee Setting Update
We made an enhancement to our Checkout Fee setting. We changed the label from “Tender Type Exemptions” to “Apply to”; and now, to have a checkout fee applied to a particular tender, you will enable the toggle. If the Tender Type toggle is disabled, no checkout fee will be applied to the tender.
Release 8.311 (2020)
Fee is Taxable and Apply Fees to Tax settings were added to the Admin Fee tab under Account Settings. Merchants could not enable the settings on their own, but the settings could be disabled.
- Fee is Taxable: When enabled, taxes were calculated and applied to the Admin Fee and Subtotal.
- Apply Fee to Taxes: When enabled, taxes were calculated only to the Subtotal. Both the Subtotal and taxes calculate admin fees. Taxes did not apply to admin fees.
Release 8.305 (2020)
In this release, the Customer Service Fee name changed to Checkout Fee for all guest checks, receipts, settings, and reporting. Additionally, to configure Checkout Fees, user navigation changed to Settings > Account > Checkout Fee.
Release 8.265 (2020)
Exatouch Display Redesigned
In this release, the Exatouch display screen changed to the design below. No functional changes for special fees were introduced. Release 8.265 also added the option of charging fees to cash purchases. Additionally, merchants could enable Cash Discounts and Checkout Fees at the same time.
Release 8.184 (Prior to 2020)
In this release, Exatouch was updated to calculate and apply taxes to Checkout Fees. The setting could be assigned to one or more tax groups and could be configured by merchants. Release 8.184 also introduced the Undo Checkout Fee custom button.
Release 8.191 (Prior to 2020)
Exatouch added the Customer service fee setting in Release 8.191. Merchants could add a percentage fee to all credit and debit transactions. At this time, the fee appears on the Cash Discount report and on payment receipts as Customer Service Fee.
