Book an Appointment

Exatouch allows you to book appointments, manage schedules, and assign appointment statuses.

How to Book an Appointment
    • Tip! Before you book an appointment for a customer, confirm that they have been added to your Exatouch system. If not, see: Enter a New Customer

    1. From Home, tap Services Schedule.Tap Services Schedule
    2. Select a date on the calendar.Tap day for appointment
    3. Review staff availability. Staff members are listed in column headings. Existing appointments appear in blocks.  If staff are not available on the day you choose, you will be prompted to create a staff schedule. See:  Create a Staff Work ScheduleTap time for appointment
      • Tip! Appointment blocks are color-coded based on customer status. Select Legend to view a list of statuses by color.
    4. Select an appointment time.
    5. Select a customer and tap OK.Select customer
      • Note: If your customer does not yet exist in the system, quickly add the customer by tapping New Customer.
    6. Choose from the list of Available Services. Multiple services can be chosen by scrolling through available services and tapping on each desired service.Select services
    7. Tap Save.
    8. View the appointment on the schedule.View appointment
    • Tip! In Exatouch, Scheduling and Messaging work together seamlessly. Schedule appointment reminders directly from the Messages module. See: Create Appointment Reminders

Assigning an Appointment Status

  1. You can assign different statuses to scheduled appointments in the Modify Appointments section: Modify appointment status
    • Confirmed – Check this if the scheduled customer responded to an appointment reminder text or email.
    • Priority – Check this if the scheduled customer needs to be seen before anyone else.
    • Check In – Chieck this when the scheduled customer arrives.
  2. Changing the status changes the color of the appointment on the schedule.Appointment status colors

Checking Out

  1. When the customer is ready to pay for services and any additional products, tap Check Out.Tap Check Out
  2. A message displays asking if you want to add the services/products to an open order. Click Yes.
  3. Add service to open order

  4. Tap Pay to collect the customer’s payment using their preferred method.Tap Pay

  • Note: The customer may also pay for past unpaid services or future services at this time.
